WHAT YOU’LL DO

As a Training Department Coordinator, you will play a vital role in ensuring the smooth and efficient operation of our organization's training programs. Your primary responsibility will be to support the training department by coordinating various activities, managing logistics, and providing administrative assistance. You will collaborate closely with trainers, managers, and employees to ensure training initiatives are implemented effectively. Your attention to detail, organizational skills, and excellent communication abilities will contribute to the overall success of our training efforts. By coordinating schedules, tracking training progress, and maintaining training records, you will help foster a culture of continuous learning and professional development within our organization. Your dedication to promoting employee growth and improving performance will be instrumental in driving our company's success.

  • The Training Coordinator at Procaps plays a critical role in supporting the training and development initiatives by overseeing project management and handling administrative tasks. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.
  • The Training Coordinator will collaborate with various teams to ensure the efficient delivery of training programs and assist in maintaining training documentation. This role contributes to enhancing employee knowledge, skills, and performance within the organization.

OTHER ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Coordinate and track progress on training projects, ensuring adherence to deadlines.
  • Monitor projects and provide regular status updates to management.
  • Identify and mitigate risks or issues that may impact project delivery.
  • Coordinate logistics for training sessions, including scheduling, venue arrangement, and equipment setup.
  • Prepare training materials, presentations, and handouts as required.
  • Assist in maintaining training records, databases, and documentation.
  • Respond to inquiries related to training programs and provide administrative support to trainers and participants.
  • Assist in the implementation of learning management systems or training platforms.
  • Coordinate with internal departments to ensure the availability of resources required for training delivery.
  • Communicate training schedules, updates, and requirements to relevant stakeholders.
  • Liaise with trainers, and participants, to ensure the smooth execution of training activities.
  • Responsible for quality and continuous improvement regarding call quality/customer interaction
  • Assist with generating pertinent documentation regarding performance issues and/or training requirements
  • Assisting in the professional development of the Customer Care Center
  • Assist with designing and implementing training programs
  • Assist with / Update, maintain and track training information materials for Customer Care Center
  • Assist with / Update and maintain Digital Product Book for Customer Care Center
  • Assist with generating responses to customer inquiries
  • Assist in support of physical training requirements (room scheduling, equipment, materials, etc.)
  • Assist in the development of Company Lunch and Learn programs
  • Assist monthly roundtables
  • Assist with writing a monthly quizzes based on products or current topics
  • Assist/Develop/Maintain Training Department board in the CCC
  • Interact/Participate/Develop in training planning and initiatives
  • Contribute to and support the corporation’s quality initiatives by planning, communicating and encouraging team and individual contributions toward the corporation’s quality improvement efforts
  • Perform other duties and responsibilities, as assigned

WHAT YOU BRING (MINIMUM JOB QUALIFICATIONS AND REQUIREMENTS)

  • Previous experience with Project Management. Certification in Project Management a strong plus.
  • Previous experience in coordinating training programs or working in a training department is highly desirable. Experience with training administration, logistics, and coordination activities is beneficial.
  • Strong organizational skills to handle multiple tasks, prioritize work, and manage training schedules effectively. Attention to detail is critical for maintaining accurate training records, coordinating logistics, and ensuring smooth training operations.
  • 2-3 years of call center and/or sales/customer service experience.
  • Familiarity with training methodologies, adult learning principles, and instructional design concepts is valuable. Understanding training evaluation techniques and learning management systems (LMS) is advantageous.
  • General knowledge of the supplement industry and FDA requirements relating to customer interaction
  • Strong oral, written, and interpersonal skills and strong customer service skills
  • Ability to interpret policies and procedures and communicate effectively
  • Ability to make decisions and exercise good judgment in a complex and rapidly changing environment
  • Ability to work in a fast-paced, team environment and retain new or evolving information and procedures
  • Ability to work under stress and pressure and respond to inquiries with tact, diplomacy and patience
  • Ability to exercise discretion on sensitive issues and confidential matters
  • Strong computer skills to include, Microsoft word, Microsoft excel and Microsoft Access
